Whether you are working AV design-build or bidding to someone else’s specification changes almost everything about your drawings — who produces them, who owns the risk in them, when they are due, and how much drafting time you have to absorb. Integrators lose money on both models for the same reason: they price the install and forget the documentation. This guide covers what actually changes between the two, and what it means for your drafting capacity.
The two models in one line each
Design-bid-build (often just “bid-spec”): an independent consultant designs the AV system and issues drawings and specifications. Integrators bid against that package. The design already exists — you are pricing someone else’s intent.
AV design-build: one party designs and installs. The integrator owns the design, produces the drawings, and carries the risk if the system does not perform. There is no consultant package to bid against, because you are writing it.
Most integrators do both, often in the same month. The trap is running them with the same drafting process.
What changes for your drawings
The deliverables have similar names in both models, but the burden sits in completely different places:
- Who draws it. Bid-spec: the consultant issues the design; you produce shop drawings that respond to it. Design-build: you produce everything, from concept through AV shop drawings to as-builts.
- Who carries design risk. Bid-spec: if the specified system does not work, that is largely the consultant’s exposure. Design-build: it is yours, and your drawings are the evidence of what you promised.
- When drawings are due. Bid-spec: a defined submittal date, reviewed and returned with comments. Design-build: earlier than you expect, because the GC needs your requirements before rough-in regardless of your contract date.
- How much drafting you absorb. Bid-spec shop drawings are largely a translation job. Design-build means originating signal flow, rack elevations, floor plans and schedules from nothing — several times the hours.
- Review cycles. Bid-spec sets get returned marked up, sometimes twice, which makes revision control non-negotiable. Design-build revisions are driven by the client changing their mind.
- Standards. Bid-spec: you draw to the consultant’s title block and layer conventions. Design-build: to your own — which only helps if you actually have AV drawing standards written down.
Where each model costs integrators money
On bid-spec, the losses come from bidding a specification you have not read closely. If the spec calls for point-to-point diagrams, a full cable schedule and as-builts, that is drafting labour that has to be in the number. Reviewers also reject submittals over drawing standards, not just system design — wrong title block, missing revision, symbols not in the legend — and each rejection is another cycle.
On design-build, the losses come from underestimating origination. There is no consultant package to work from, so every sheet starts blank. Worse, design-build schedules compress: you are often appointed late and still expected to hit the electrician’s rough-in date. That is when drawings get rushed, and rushed drawings become change orders.
Which model needs outsourced drafting more?
Both, at different moments.
Design-build is the heavier lift by a wide margin, and the demand is spiky — you might win two design-build jobs in a month and none the next. Hiring a full-time drafter against that pattern is hard to justify, which is exactly why capacity you can turn on and off fits the model.
Bid-spec needs less origination but far more precision, because someone is paid to review your work and send it back. Consistency and a clean submittal matter more than speed.

Common mistakes on both sides
- Pricing the install and not the documentation — the single most common estimating error on AV projects.
- Not reading the submittal requirements before bidding, then discovering the spec wants sheets you did not budget for.
- Using bid-spec habits on design-build work, waiting for a package that is never coming.
- No house standards, so every design-build job is drawn differently and nothing is reusable.
- Treating as-builts as optional. On design-build they are usually contractual, and they are what the next service call depends on — see AV as-built drawings.
- Missing the rough-in date because the drawing schedule was built around the contract rather than the construction programme.

A quick check before you bid either way
Before pricing, confirm you know which model you are in, exactly which sheets the contract requires, who reviews them and how many cycles are allowed, what standards you must draw to, and what the rough-in date is. Then budget the drafting hours separately from the install.
